Customers pre-order coffee from their car or on foot, you prepare it in advance, they pick it up without waiting. More orders, happier customers, zero setup cost.
1 Contact Us
Email partners@coffeeslap.gr with:
- Your café name and address
- A phone number for the café
- The Google account (email) you will use to log in
We'll create your café profile and approve your account within 24 hours.
2 Install the App & Sign In
Download CoffeeSlap from the Google Play Store (iOS coming soon).
- Tap "Sign in with Google"
- Choose the Google account you gave us in Step 1
- Once we approve your account, you'll see the café owner dashboard
⚠️ Approval required:
After your first sign-in, your account needs to be approved by our team. This usually takes less than 24 hours. Until then, you'll see a "pending approval" message.
💡 Tip:
Use a dedicated tablet or spare phone at the counter for the best experience. Keep it plugged in and with sound on to hear order alerts.
3 Set Up Your Menu
From the café dashboard:
- Tap the ⚙️ Settings gear icon
- Tap ☕ Menu Items
- Toggle on the drinks you offer (Espresso, Cappuccino, Latte, Frappé, etc.)
- Tap the price next to each item to set your prices
⚠️ Important:
Customers can only order items that have a price set. Items without a price will be hidden.
4 Set Your Location
The app needs your exact location so customers can find you and we can calculate arrival times:
- Tap ⚙️ Settings → 🗺️ Set Location
- The map will open with your current position
- Drag the pin to your café's exact location
- Tap Save
Set a Pickup Zone (Optional)
If you do curbside pickup (customers stay in their car):
- Tap ⚙️ Settings → 📍 Pickup Zone
- Draw the area where customers should park
- This lets the app notify you exactly when a customer arrives at the pickup spot
5 Print Your QR Code
CoffeeSlap generates a unique QR code for your café:
- Tap ⚙️ Settings → 📱 QR Πελατών
- Take a screenshot
- Print it at A5 or larger for visibility
- Laminate it for outdoor durability
Where to place it:
- 🪧 On the counter / cash register
- 🚪 At the entrance
- 🪑 On tables
- 🅿️ In your parking area
- 🚗 At the drive-thru window

Customers scan the QR, download the app, and your café is pre-selected — they can order immediately!
6 How Orders Work
When a customer orders:
- 📱 You get a notification — a loud alert sound plays
- ✅ Accept the order — tap the green Accept button
- 🔥 Start preparing — tap "Start Preparing" when you begin
- ☕ Mark as Ready — the customer gets notified
- 🤝 Hand it over — tap "Picked Up" to complete
Order statuses:
🟡 Pending → 🔵 Accepted → 🟣 Preparing → 🟢 Ready → ✅ Picked Up
Customer Arrival
When a customer gets close to your café, you'll see:
- 🚗 An approaching-car indicator with their distance and ETA
- Their car colour and license plate (if they provided it)
- A "Customer is here" badge when they arrive at the pickup zone
7 Daily Operations
Opening & Closing
Toggle your café's open/closed status with the 🟢/🔴 button at the top of the dashboard. Customers can only order when you're Open.
Filtering Orders
Use the filter toggle to hide completed orders and keep your view clean. Use the search bar to find specific orders by name or number.
Calling a Customer
Tap a customer's phone number to call them directly, or tap "SMS" to send a text message.
8 Payments
During the pilot phase, all orders are cash-only. The customer pays when they pick up their order, just like they would normally.
Card payments via SumUp terminal integration are coming soon — we'll notify you when it's available.

? FAQ
What if a customer doesn't show up?
You can cancel the order from the dashboard. There is no penalty for the café.
Can I change my menu later?
Yes! Toggle items on/off and change prices anytime from ⚙️ Settings → ☕ Menu Items.
What if I'm too busy to take orders?
Set your status to 🔴 Closed. You won't receive new orders until you toggle back to 🟢 Open.
Do I need special equipment?
Just an Android phone or tablet with internet access. That's it.
How do customers find my café?
The app shows nearby cafés on a map, sorted by distance. Your QR code also links directly to your café.
How long until my account is approved?
Usually within a few hours, always within 24 hours. We'll send you a notification when your café is live.
